Duplication Information and Fees

All duplication requests must be approved by the overseeing archivist.

The Southwest Collection/Special Collections Library faculty and staff will consider the duplication of materials when it can be done without injury to the items. Under these circumstances, copies will be completed upon request. Please allow up to three weeks for duplication orders, especially photographs and oral history interviews. Duplication requests are completed in the order they are received.

Additionally, only 5% of any given folder may be duplicated. Reference Services may be unable to scan oversized items.

Commercial Use fees are $20.00 per item for any material type.


AUDIOVISUAL MATERIALS

- There is a charge of $25.00 per CD for audio materials, not including tax.

- There is a charge $35.00 per DVD for video/moving images, not including tax.

- Shipping and handling fees may apply if materials are not delivered electronically.

IMAGES

- Each high-resolution (300 DPI or higher), digitized scan is $10.00.

- Images will be scanned as .TIF files unless otherwise requested.

- Files will be delivered electronically via email.

PHOTOCOPYING

In-house photocopies are charged per page:

- $0.20 each for letter and legal

- $0.30 each for 11" x 17"

There is a $5.00 flat fee for anything that is emailed or mailed. This includes up to twenty-five (25) photocopies. Additional pages will be at the in-house cost per page.

Emailed photocopies will be delivered as a low-resolution PDF file and may be lightly watermarked. Mailed photocopies are subject to shipping and handling charges.

Photocopies are provided for research purposes only, not to be posted online/on social media, published, or otherwise widely distributed.

In-house patrons may be approved to take pictures of archival materials with their cell phone or handheld cameras in lieu of traditional photocopying. This is free of charge. Only 5% of any given folder may be photographed and photo descriptions must be recorded on the Personal Camera Use Form. Please see this form for additional policies and information.
